How technical TPMs are becoming strategic translators (and getting paid for it)
issue #7 | date: 06/11/2025
Editors Note
I was scrolling through job postings and stumbled across a Technical Program Manager role at Scale AI that got me thinking. They're asking someone who can dig into data with SQL and Python. This isn't your typical "facilitate meetings and send status updates" job.
We're seeing a real shift here.
The old-school approach of just running Scrum ceremonies and managing value streams? That's becoming table stakes at best. Companies want delivery and ops professionals who can actually translate between technical teams and business stakeholders. Folks who will dive into the data to understand what's happening, and who can drive results instead of just tracking them.
In this week's edition:
Leadership Roles: Top director and VP positions in delivery and operations.
Automate the structure of knowledge of management.
Visionary Voices: Meet Sophia Zhao! A woman’s voice in the world of AI who’s making big moves in VC.

🤖 Confluence-Based Knowledge Management Automation
Pain Point: Important decisions, retrospectives, and lessons learned often live in people's heads or scattered Slack threads & never make it to Confluence.
Solution: Use Jira Automation + Confluence Templates to generate structured pages automatically.
🔧 What It Does: When a Jira issue tagged as a milestone, decision, or retrospective is transitioned to “Done”:
Jira Automation triggers a page creation in Confluence using smart values like:
{{issue.sumary}}, {{issue.assignee.displayName}}, {{issue.updated}}
The page is based on a Confluence template (e.g., "Retrospective Template")
It auto-titles the page:
{{issue.key}} - {{issue.summary}}
Automatically links back to the Jira issue for traceability
Stakeholders are notified via Confluence Watch or Slack integration
đź“… Frequency: Event-based, triggered as needed by team activity
📎 Optional Add-ons:
Use Confluence Labels to tag pages by program, type, sprint, or date
Send a monthly digest using Confluence Automation + scheduled email reports
Visionary Voices
📝 Sophia Zhao

In the world of AI investing, few voices are as sharply tuned to the future of applied intelligence as Sophia Zhao. A principal at Alumni Ventures, Zhao co-leads the firm’s AI-focused fund, backing early-stage startups building everything from foundational models to workflow-specific agents. With a technical background and investor instinct, she’s one of the emerging forces shaping how capital meets computation.
What makes Zhao stand out isn't just her investment thesis; it’s how clearly she articulates the real-world traction AI needs to generate. She’s spoken publicly about the importance of moving beyond “AI as hype” toward systems that drive measurable value, particularly in B2B, fintech, and SaaS infrastructure. That includes funding tools for data labeling, ML observability, and verticalized AI that plays nicely with enterprise workflows.
Beyond investing, Zhao’s writing is refreshingly tactical. In her recent profile celebrating women in AI, she discussed the importance of cross-functional thinking, urging technical founders to get fluent in product and go-to-market strategy early. It’s the kind of operator insight that delivery professionals, especially TPMs working in AI environments, can resonate with deeply.
If you’re in project delivery and wondering how to future-proof your role, following leaders like Zhao isn’t just smart, it’s essential. She represents the kind of systems-thinking VC the industry desperately needs: one who knows how to connect vision to viability.

📚 Main Feature: Thinking Systems, Not Silos
As Delivery Professionals in AI-driven environments, we can’t just focus on individual code pipelines or deliverables; we need to think about systems. That means mapping dependencies, surfacing them in stakeholder forums, and ensuring the context feels shared, not hidden.
Why it matters
AI projects are interconnected systems, not linear builds.
Missing a dependency can derail timelines, budgets, and trust.
Tactics to level up your systems thinking
Visual dependency mapping: chart workstreams and data pipelines; refresh weekly in stakeholder readouts.
“Context drop” checkpoints: at transitions (e.g., dev → data-science), prompt teams to share what decisions triggered moves and why.
Cross-swimlane syncs: short weekly huddles with leads from each domain (e.g., infra, ML, UX)—not to report status but to air assumptions, conflicts, and blockers.
Boundary docs: Use Confluence or Notion to capture interface contracts like data formats, API specs, and SLA expectations. When these are visible, teams steer clear of mismatch and rework.
Pick one current project you’re managing. This week, map out all upstream and downstream dependencies using a tool like Miro or Whimsical. Then:
Schedule a 15-minute cross-functional sync with leads from engineering, product, and data.
Ask one question: “What assumptions are we each holding that could derail this?”
Document the answers in a shared Confluence or Notion page tagged to the sprint or milestone.
You don’t need a re-org to think in systems, you just need better visibility and braver questions.
Start with one thread, and you’ll be shocked at how quickly the whole fabric reveals itself.
